U.S. Payroll Year-end Checklist

p Run and post the final payroll for the year you are closing.

p Reconcile employee totals.  How?

p Reconcile payroll tax totals.  How?

p Reconcile Payroll to General Ledger.   How?

p Print management reports.

p If needed, enter information to comply with the Affordable Care Act (ACA).     How?   

p Make a backup copy of your entire database if you haven't already done so.   How?

p (Optional) Make a copy of your Payroll data files to be used for the closing year reporting only.
       How?

p Install year end software update. How?       (Note: users must be logged in to access download links)

p Customize the W-2 forms, if necessary.   How?

p Generate W-2s (before or after closing the year in Payroll).   How?  

p    If required, generate ACA (Affordable Care Act) forms (before or after closing the Payroll year)
        How? 

p Generate additional Federal quarterly forms (e.g. 941) and year-end forms (before or
        after closing the year in Payroll).   How?

p    Generate additional State quarterly forms and year-end forms (before or after closing the year
        in Payroll).   How? 

p Close the year in Payroll.   How?

p Create an annual archive after completing your calendar-year processing. This archive can be
        used for restoring data or reporting purposes   How?

p (Optional) Perform file maintenance.  How?

In January, prepare for the first payroll of the new year.

p Download and update taxes for the new year. (Only install taxes after you have
       posted all checks for the year you just closed).   How?
