Removing Closed Jobs

SOLVED

Hello,

I am wanting to know the ins and outs of removing jobs with closed status when archiving the company file.

1. Can you remove closed jobs that still have an A/R balance?

2. Can you remove closed jobs that still have A/P balances (retainage still needs to be cut)

Will sage recognize that these jobs still have an A/P or an A/R and prevent you from deleting them?

Thanks,

    Hi Ralls

No you cannot removed closed jobs that have open AR, open AP, or any transactions more recent than the FYE archive you are creating.  YES, Sage will check for those things in its own audit.  But in order for jobs to archive they must be in status 2-refused (if you didn't get the job) or 6-closed.  And even if you have two open invoices that net to zero, Sage sees them as open invoices and will not archive that job until all invoices are paid.

Okay great. That is what i needed to know. I mainly want to close jobs that all A/R has been received, but we might owe retainage to one sub. So essentially the job has been done, but we are waiting on the sub to actually submit for retainage and get us our final lien waiver, before we cut the check. Thank you for the response!
