Managing Disc Clutter And Deleting Redundant and Unwanted Files

I've already confessed in the article "Controlling the Size and Type of Documents a user can upload" that I have been guilty in the past of creating bloated files. Users like me who have a habit of uploading oversized files in Sage CRM can cause headaches for System Administrators who need to make sure the best use is made of the disk space available to the system. Of course the ideal way is to make sure that large files are not uploaded in the first place and that is something that the previous article discussed.

But another way in which disc space can be consumed is through email signatures that contain graphics. A system where users make use of the Outlook plugin can store a very large number of emails against customers but these of course may have very small gif or jpg files attached which over time could create a considerable inconvenience. These signature images are not important but are stored along with other email attachments as the emails are uploaded.

Sage CRM allows you to manage all of this very easily

Navigate to

Administration -> E-mail and Documents -> Library Management

You should see a screen like the one above. You can find files by searching by type or size.

Use the Filter to view the files in Global Library.

You can then select the files you don't want and use the delete button to remove them from the system.
