Sage CRM 2023 R2: Company Teams and Sensitive Tabs

Company Team and Sensitive Tabs are a way of adding a "no code" control of access for people in the same security profile/territory - so imagine users that work together but where the system administrator doesn't want them casually accessing certain data. This may be data that is classified as sensitive data.

I have discussed this previously in the article "Sage CRM and Row Level Security".

We can understand the idea of the Company Team by using demo data.

The default demo data has 2 sales users. Matthew Ebden and Peter Johnson. These two users in the demo system are in the UK territory and in the Direct Sales team (Channel). They also share the same User Security Profile 'Sales Rep'.

If you log on to the demo data system log on as Matthew Ebden (EbdenM) navigate to the Find screens and find all companies then Matthew Ebden can see all 732 companies that Peter Johnson can see. These are all in the UK territory. But if Matthew Ebden tries to access the Company "Accantia" then many tabs are greyed out.

Within the Company Tab, the following tabs are marked as sensitive

  • QuickLook
  • Marketing
  • Notes
  • Communications
  • Opportunities
  • Cases
  • Team
  • Library
  • CompanyDashboard

Tab Sensitivity is applied on top of the Row Level and Field Level security.

But it doesn't just control access to the tabs in the company where Company Teams are used then all the children entities under the company will also be controlled.

Within child cases, the following are sensitive tabs by default

  • Communications
  • Library
  • Tracking

Within child opportunities, the following are sensitive tabs by default

  • OpportunityItems
  • Communications
  • Library
  • Tracking

Note:  Consider making the quotes and orders tabs sensitive if using Company Teams 

Sage CRM is a generalist CRM product and is used across many industry verticals including healthcare, research, social services and other non-profit groups with a membership. Examples of sensitive information include:

  • Racial or ethnic origin;
  • Political opinions;
  • Religious or philosophical beliefs;
  • Trade union membership;
  • Genetic data;
  • Data related to a person’s sex life or sexual orientation; and
  • Biometric data (where processed to uniquely identify someone).

Within child person records the following are sensitive tabs by default

  • QuickLook
  • Marketing
  • Communications
  • Opportunities
  • Cases
  • Library
