Software Update | Release 5.9a for Sage Business Cloud Payroll Professional available 16 September 2022

Release 5.9a is now available.

What is included in this update?

  • South Africa - Interim EMP501 Reconciliation changes, Qualifying Long Service Award changes, Fixed Rate Directives and Lumpsum changes
  • Tax Table changes: Lesotho, Malawi, and Zimbabwe (previously released)
  • New statutory report: Nigeria LIRS Monthly PAYE Schedule
  • Changes to existing statutory reports and bank files
  • Issues resolved

All South African user must update to Release 5.9a before exporting the IRP5 files for the 2022/2023 Interim EMP501 Reconciliation Submissions.

An onscreen pop-up message will display the above information when you log in, until you select not to display the message again.

What to expect:

When you launch your subscription, you will receive either a Suggested Update or Mandatory Update message.

  • Suggested Update: You will have the option to Update Now or Later:
    • Update Now which will convert the data to the new version and apply the new changes, and is recommended to be done only if all companies are in new pay period) or 
    • Later which will allow you to continue to work on the current version (for example you have not rolled into a new pay period). The Release 5.9a update must be installed when all companies are in a new pay period, before you export your IRP5 files for the 2022/2023 Interim EMP501 Reconciliation Submissions. All users are urged to access and update as soon as possible. 
  • Mandatory Update: This message will only display if you did not update in the recommended timeframe and will require you to Update Now or Cancel. 
    • If you Select Update Now, but do not select to convert the company data when launching the application, the companies will not reflect on your Company Listing screen. At this point, you will have no other option, but to update the system.
    • If you select Cancel, you will not be able to access the payroll

If your companies are still in August 2022, you should select Later and roll all your companies into a new pay period in September 2022 (before you have printed payslips, reports, or paid your employees), before selecting updating the data. If you have already finished processing for September 2022, you should roll your companies to October 2022 before applying the update.

When you are ready to update your data, select Update Now (all non-Super User will only see the Later option and will not be able to perform the update.)

The process will convert all payroll data to the new version. Once completed, the new version number will reflect at the top of the Company Listing screen. (If you select to update a company later during the conversion process, the company will not display on the menu).

  • Review and update Qualifying Long Service Award IRP5 codes & Taxability (changing taxability will result in a recalculation of PAYE, UIF, SDL and ETI amounts)
  • Print tax-free validation report once codes updated
  • Review and update Tax Directives (if you have 5 tax directives on an employees)

Frequently asked questions:

Q: I do not have any of the tax country companies which have changes included in the update. Am I required to install the update?

A: Release 5.9a is a mandatory update for all users.

South African users must update to the new release before exporting the IRP5 files for the Interim EMP501 Reconciliation Submission to SARS, to be compatible with the latest version of SARS e@syFile.

You can select to delay the update to a later period; however, it is recommended that you update to the new release as soon as possible. You will be prompted to update the application, every time you log into the system.

Q: I have completed my August 2022 processing, and see the update is available when I log in. Will I be able to install the update?

A: We would recommend selecting Later on the message to update the system, and to first start your new pay periods for September in all your companies, before selecting to install the update.

Q: I have completed my August 2022 processing and selected to install the update. Should I be concerned?

A: The application contains tax files for Lesotho, Malawi, and Zimbabwe, and will force a recalculation during conversion of data. If you have applied the update, it is recommend reviewing the values of your month-end reports (e.g., EMP201) before and after the software update, and ensure none of your statutory calculations were affected and changed (e.g., no general recalculation was done).
