Print Customer statements with a Zero Balance

Good afternoon

I have quite a few customers which ask me every month if they owe anything.

Is there a way of printing statement for these Customer with a zero balance?

I have to send the AR Aged Analysis to show that there are no invoices due.

Please assist, as I may be doing something wrong.

    Hi Bernadette

To explain further, please consider the following:

    1. Customer ROMEO has an invoice and payment transaction for R4500  and the two are fully allocated

    2. On the Customer Statement screen, set it up as below

    Report Results

Notice the R0.00 balance for customer ROMEO as expected

    Will this work for you?

    Hi Bennie

Thank you for your response.  I am able to print this type of statement thank you.

However there are customer whom have NO transactions in a month and they want to see a statement reflecting this.

They do not want a Ledger Printout.

I get statements like these from my Suppliers.

Is there perhaps a way that this can be done?

    Good Morning Bernedette

    I understand.

I carefully tested the standard Customer Statement Report and there is really no way to include customers, with no opening balance, that also have no transactional movement in the report's reporting date range

For example, Customer AAA has an invoice and fully allocated payment in September 2022. If you run the Statement for 1 Nov to 30 Nov 2022 customer AAA will not be included.

But, please consider the following work around:

    1. Go to Customers | Reports | Allocations

    2. On the Options screen, select the report date range and the Allocation options selected below. Don't select any of the Options section options below

    3. On the Report tab, select the relevant customer

    4. If you run the report, you'll notice that the customer is now included, even though that customer has no transactions in the month of November 2022 (reporting date range)

    HOWEVER, notice the following:

The report heading above, can be changed on the report Design layout screen to read 'Statement' so your customer will be able to receive an 'official' report called Statement, without him even knowing the Allocations report has been used.

Let me know if you need assistance on how to change the report heading name?
