Emailing Statements

Hi Guys

I am new to Sage 200, have used Partner for many years, so I am feeling totally out of my depth at the moment.

I would like to have a discussion about emailing statements.  I have been told that the system uses the email address in the contact details tab to send statements.

My question is, how do you prevent anyone from changing that address to avoid sending the statement to the wrong person?

    Before I give an answer, please first understand the following: 

    You can assign Access Permissions, as well as access to specific nodes such as  Maintenance-, report-, processing types etc.

    That means those agents who will work with the Customer records should have at least the following setup in their agent profile:

    a) Access Permissions 

    These settings must be selected 

    b) Access to the Customer Node

    Now having said the above, please note the following:

    There is unfortunately no control over any internal fields within the Customer Maintenance, or any other screens.

    Once an agent has Edit Access Permissions over a certain record (e.g. Customer Maintenance), and has access to the node in general (e.g. on the Customer Maintenance screen) then he can edit any fields within the screen. Evolution has no other setting to limit what can be edited or not edited within a certain screen.

    HOWEVER: Also consider activating the Database Audit Setup utility (see attached guide).

    In this case you should activate the audit on the CLIENT table. 

    Doing this will allow you access over all changes/edits made on the Customer Maintenance screen for all customers, as broken down by agents and date/time of when the changes were made, including changing of e-mail address
