GL Cashbook entry

Hi

I have to do some cashbook entries for transactions over a 6 months period. Needing some best practices concerning:

1) Do I need to create and separate each type of transaction  (BankA_CASH, BankB_CASH, BankA_DEP, BankB_DEP) in separate batches for cash payments and deposites for bankA, bankB, etc because each batch properties can only set 1 transaction code like CASH or DEP?

2) Have some bank accounts funds transfer say from A/C1 to A/C2. Do I need to create a new transaction type like TRAN?

    Yes, we would recommend creating a specific cashbook batch per specific bank. And in the Cashbook Properties screen | Integration tab | Bank field, select the specific Bank account (that should already have been created as 'Cash and Cash Equivalent' Account Type.

    You can capture and process deposits and payment transactions in the same cashbook batch. Its on the specific transaction line that you post either a deposit or payment transaction line 

    Yes, if you want to, of course create a new  Transaction type called TRAN and then in the transaction line select the specific bank to where you need to transfer funds to/from

    Of course, the best advise I can give you: Please create a demo company and process a couple/several dummy transactions, print your reports until you're completely satisfied with how Evolution works in this regard.

    Only then process the transactions in the live company.

    Thanks for clarifications.

    For cheque payments and bank transfers , can I also use the same batch with default Transaction Code of CASH please?  

    Also, what is the DEP transaction code for?

    yes, you can use the same cashbook batch if you want to but always remember the Bank Account specified in the Cashbook batch Properties | Integration tab determines from where the transactions are moving money to or from.

    All transaction types in a cashbook batch is purely of academical importance: With other words if you create a new transaction Type called ABC is will still do exactly the same as a transaction type called CASH. Its purely for organisation sake that you will want to differentiate between the transaction types over different transaction lines. And of course it makes sense.

    E.g. use a transaction type called TRANS (Transfer) for transaction lines where money is moved between bank accounts

    Or DEP for deposits type of transactions etc.

    That is very clear and fair explanation.

    However, how do we differentiate the type for each transaction line as TRANS or DEP since the default in Integration Tab is set to CASH?  Won't all transaction lines in this batch result as type CASH? Thx.

    No , not at all.

    The CASH default transaction type is just that, a default. When you capture the lines you an still change each line's Transaction Type before posting the batch.

    Cannot find any drop-down menu or place to choose types.

    My apologies!  Yes,, of course. Sorry the Cashbook Batch Properties screen is the only way where you can set the batch's Transaction Types for all transaction lines.

    That means, for reporting purposes, it may be prudent to rather create different Cashbook batches per type of transaction you want to post in the batch e.g. Deposits, payments, transfers .
