Reports - Collections and Collections By Period

Today I ran the Collections by Period for all Timekeepers from April-June 2022.  Two thousand dollars was posted under the Attorney column as N/A for the month of June 2022.  So, I ran the Collections Report for the month of June to breakdown the collections we received that month.  I found the client and looked the invoice I had created.  We had reduced the attorney's fees to $2,000.00 and the costs remained $573.88 for a total balance of $2,573.88, and this was submitted to the client.  The client paid that amount and it was finalized.  Can you tell me why the attorney is not getting credit for the $2,000.00 fees that were collected.  Does it have something to do with adjusting the fees?  I don't see how it could as the same attorney worked on this file.  What am I missing?  Please help.  Thanks.

    If you use a flat fee, the value and allocation does not happen until the flat fee is marked as completed

    My apologies, but what do you mean "marked as completed"?

    When you set up a flat fee, it is in progress. When you finish the flat fee you need to change the status to completed for the slips to get appropriate billable value and allocations

    Thank you for getting back to me, but I checked and it is completed.  I was mistaken initially as there was more than 1 attorney working on this file so could it be that the software doesn't know how to allocate the fees since there was more than one attorney?  Is it as simple as changing the attorneys on the setup page?  Or do I have to start creating custom fields...?

    Fee allocation is generally based on worked hours so you the allocations on the setup would be irrelevant. Unless you are running the compensation reports which allocate based on responsible, etc. percentages. Its hard to tell more without actually looking at your data .

    Ok, I am just trying to troubleshoot on my end.  That answers my question-they are not setup on percentages.  I know it is right under my nose but I'm not seeing it.  Thank you for trying to help me though.

    Hard to tell from what you have posted so far. 

    What version of Timeslips?

    How (in as much detail as you remember) did you "reduce(ed) the attorney's fees to $2,000.00"? There is more than one way to do that in Timeslips and it might impact the solution.

    Fee allocation and Collections are two different things. Fee Allocation is based on assigning percentages of the fee to be allocated to a timekeeper IRRESPECTIVE of the time they may actually work on the invoice.

    Collections looks at the Contribution that a Timekeeper made to the invoice and when payment is received, allocated the collection proportionately to those who worked on it.

    Since you are trying to run Collections reports, I will assume you are not interested in a Fee Allocation.

    First thing I would look at is the Invoice that is getting paid. What does it "know" about who contributed to the invoice?  In my v2020 Timeslips, I can see that in the A/R Transaction, under the Contributions tab for a particular Invoice.

    So, now Timeslips knows who Contributed to the invoice, let's see how it allocated a $100.00 payment against the $510.00 Invoice.

    You need to enter the payment, apply it against the invoice, and then save the payment to be able to see the Collections tab.

    Hopefully that gives you some places to look for as to why the Collections is not showing up where you expect it.
