Timeslips 2015 - Master Client Usage

I have several existing clients that I want to set up beneath a new master client.

My concern is that when I set them under the new master client using a consolidated billing layout, that my billing history on the existing clients will be erased.

Does anyone know that if you set up an existing client under a new master client if your billing history, balances ect stay intact for the existing clients?

Billing History should NEVER be erased by anything you do, but I've not tested that specific scenario.

I'd just make a backup, then test one master client.  But I would be VERY surprised (floored really) if you saw any change.  Possibly with reprint bill images, but not with balances or history.

Thank you so much for your response. Do you think it would make any difference if I am transferring the existing client from one master client into a new master client?

Our scenario on this is as follows:

We have several dozen existing client matters established under one master client. Our client now wants us to sort by facility so we need to establish nine new master clients and transfer the existing client matters to their new facility master client. Our main concern is to not lose the current balances and billing history.

If there is a better way to achieve this, I am open to any suggestions as my Timeslips knowledge is limited.

Let's take a minute to think about this, cause it would be sort of a real PITA for you to do all that changing.

WHAT does the client want you to sort by Facility? The bill? Do they want some sort of subtotal by Facility? I'm thinking you might also want to look at creating a Client Custom field that you fill out only for that client that let's your staff choose from a list of Facilities. Then you could sort/subtotal by that field on a bill or report.

Otherwise, you will all have to learn which Facility the case belongs to when you do a lookup on this new Client.Project name. Sounds like a bit more hassle than necessary if the Custom Field would get you what you want/need easily.

The master client has nine facilities and each facility has dozens of clients that are heavily billed each month. We have been using a consolidated page layout to be able to generate all the bills into one email for the manager.

They would now like to receive consolidated email bill per facility, that is why we are considering doing the nine master clients as that is the only way our office is familiar with consolidating bills.

So, hold up.  You are doing all of this just so you can have a single email attachment?

Yes. They currently receive one email attachment. They would now like to receive nine emails, each with one attachment for all the matters set under each facility master client.

Do you have a full PDF creating program like Adobe Acrobat?

Yes, we have Nuance. But, my boss wants everything done in Timeslips since he completes the billing and wants to be able to just send the emails via email without having to sort and combine.

Okay, well, I guess you could go multiple directions here.

The easiest for the _billing person_ will be the multiple Client.Projects.  But will be the MOST disruptive to the slip entry folks because it will be a new lookup for the right client record to bill against.

I feel pretty confident that you could use a Custom Field as a filter with the Master to get Timeslips to print out a single PDF to email, but your billing person would have to filter and bill for each of the facilities individually rather than just straight run all the bills.

You could also run them all as one and just do a REPORT to the client of what goes for which facility.  Really depends on how your client routes the data when they get it.  I.e., do they just need to know how much to allocate to each facility or does that split PDF get routed out to the say the facility manager or something.

But either way, it should not disrupt historical information re: balances, invoices, history because all of that is tied to an individual client record.

Yes, I feel regardless of the route it is going to be a tedious process. But, as long as our billing history will remain intact then I am sure we will figure out what best suits the office and the client.

Thank you so much for all your help on this matter!
