Timeslips A/R balance - client funds payment was entered, then reversed, but still shows on report

Hi all,

I'm relatively new to using the Client Funds function.  Fyi, I'm using TImeslips 2020.  I entered a payment into client funds in March of 2022 and later determined the payment was for a related client and wanted to move the client funds to that client.  I was unable to edit the original transaction, so I reversed the client funds entry in June 2022.  Since then, the client has shown up on my aged accounts receivable report with a zero balance.  I've tried printing an invoice to clear it, but an unable to generate an invoice.  I receive an error message "No data was selected. Either there is no data available of the Selections filter exclude all records."  There are no slips, unbilled or otherwise.  How can I fix this?  TIA.

    There's something not right here. Client Funds transactions do not impact the AR report.

    I agree with that what you have given us is not enough for us to figure out exactly what is going on. This one likely needs one of us to remote in and take a look at it with you.

    IF you only put in the Client Funds and did a refund, it should not have affected the A/R as Caren said.

    But if you used a Payment from Account in Client Funds and then did the Refund from A/R that might cause the issue, as Payment from Account is the one Client Fund transaction that DOES affect A/R.

    Again, just can't tell from what you have given us here.

    Hi Caren and Nancy,

    Thanks for your input.  Here's some additional information on my situation and some pdf files with screen shots:

    1)  I've never entered any slips for the client

    2)  The only two transactions were a payment to Client Funds and a subsequent reversal

    Attached files:

    • Sliplist for client
    • List of client funds transaction
    • Screen shot of original payment
    • Screen shot of reversal
    • Aged A/R report (other client info and totals deleted)

    Any insight you can provide would be greatly appreciated!

    That is somewhat helpful. Whether you have slips for the client or not is immaterial.

    All of the Transaction screenshots reflect A/R Transactions, not Client Funds Transactions. 

    The A/R is reflecting a zero balance correctly. However, you are correct that the zero balance should not be in the report.

    I would suggest:

    1) Make a backup, because that will be your only insurance if the following does not work, or makes it worse.

    2) From the topmost menus, choose File, then Data Verification. 

    3) In the top part of the resulting pop up window, check the first option to Check Accounts Receivable Balances.

    4) VERY IMPORTANT: ONLY choose to check the ONE client you are having a problem with. This is NOT a case of "Oh, well let's just do them all."

    5)  Under Options, have it Automatically correct any problems found.

    6) Click Ok at the bottom.

    Here is a screen shot of all that:

    It will prompt you to make sure that is what you want to do, say yes, let it do its thing.

    Once it is finished, see if your A/R report has been corrected to now show this client anymore. If it fixed it, make a second backup so you have a copy of the 'fixed' database. If it does NOT fix it, then restore backup #1 that you made in step one. You will need to fix it another way.

    Undo the 6/3/22 bill and delete the reversal.  You should then be able to delete the payment and enter it on the other client, or enter it again and reverse it with the appropriate details entered at that time. Older versions of Timeslips can give unpredictable results when a reversal is edited after entry.  If you make an error on a reversal, delete it and then enter it again correctly.
