Why would labor hours charged to a certain union code for a specific job be posting to the suspense account during time entry?

SOLVED

For some reason, when I enter hours for employees with a union classification of Foreman (JC cost code 01-006) to a certain job, they post to the suspense account.  It's specific to that job and cost code, no problem with other jobs.  I have no idea why this is happening... suggestions???

We have found that during Enter Time, if you key in an error and then try to back up to fix it, it often doesn't get corrected and ends up in suspense.  We have found it is better to delete the line and reenter, than to try to change a mistake during Enter Time.  You can test this using the Detail button that's available during Enter Time and see that fields in the detail are missing information as compared to other time entries that are similar.

Also, the way the General Ledger accounts are filled depends upon your setup.  Inside PR, under Help, use the index tab and type in General Ledger.  Under General Ledger look for help on "How General Ledger Expense Accounts Prefill"  There is a table of how expense accounts prefill which can explain.  You can use this to check your setup.

Thanks, Rhonda.  This isn't happening as the result of trying to correct an error, though, it's automatically happening as I enter the time.  We haven't touched any of the settings in JC or GL, either.

You'll have to figure out how your GL accounts fill during enter time.  For example, the pays for us, are GL's pulling from the category level in JC.  If the category for a specific job under a cost code is missing it's GL account, then the pay would go to suspense.  Your GL accounts may pull from the category or the cost code level.  Look at one of the entries that worked, and go to job cost for that different job, and look where the GL account exists.  Then look at the job and cost code or category for the job that failed, and you may find it's missing an account number from the same GL field.  If it doesn't exist, then it's going to post to suspense.  We see this happen if someone added the job "on the fly" instead of using Copy Job to setup the job.

If you find that Help Table, each area can be expanded to help you.  It could be the pay, or the fringe, etc. that posted to suspense.
