How do I remove terminated leases from current reports?

I am running a tenant activity report and terminated tenants show up on there.   There isn't any activity for the period I am running, I checked to make sure the lease was terminated and all of the dates were filled in.   One specific tenant had a 1-1-2021 beginning balance in the totals, however there are no charges due, security deposit was refunded.   Am I missing something?

    Hi Sandy24,

    When you run the report, which data files are you selecting?

    The report is calculating the beginning balance from the transactions with an accounting date before the From Date entered on the report. It's going to use the transactions from the files you selected. If you are including the New file, those are unposted transactions. If there is anything unposted with accounting dates before the From Date, that will create this problem.

    Also, selecting multiple data files can cause some "file merging" problems that result in incorrect reporting. For this particular report, you should only be selecting Current file. You can run it on Current and History when you are running it for dates that includes data in the History file. The New file should not be selected.

    I was running the report with current only, however your response did give me an idea.    When I run the report without adding any conditions the terminated leases are not there.   If I add a condition for rent payment then they show up.  Sounds like a glitch to me, unfortunately I need it with rent payment only.    Thank you for the help!

    Hi Sandy24,

    You could also condition the report to lease status= current so the terminated leases don't appear.

    Well, if I could figure out how to do that I would give it a shot lol.   I can find lease but not lease status under the conditions option and even if I select lease I cannot find anything regarding the status.   I don't claim to be a master at Sage but I can usually search and find what I need, this one is driving me crazy.

    Hi Sandy24,

    Do you always want to exclude terminated leases when you run this report?  I could modify the report design to condition off those leases.

    I don't think that I want to limit the options but being able to change the conditions to current leases would be great!
