Assigning and Setup of Employee ID's or Employee Numbers

We are a multi union employerand  have used Sage 300 since 1999.  For our Employee ID setup we have always used 1000's = Carpenters; 3000's = Laborers, etc.  We have finally started to archive old employees and are also close to "running out" of employee ID's in the previous format.  I am wondering what format is handy for employers with a high turn over?  Going forward in 2021, in order to NOT overlap an archived Employee ID, we have considered entering the 4 digit number with the first two letters of their last name. (ex:  1169ri for a new carpenter with the last name Rice)  Since I've used the same format for 22 years (actually longer) I want to choose a format that will be the easiest and most efficient but wanting to hear how others utilitze this field so I can think "outside" of the box I'm used to!  Thanks for any input!

  • Hi Leslie -

When I implement new customers, I always suggest XXXYYY## as the format.

XXX - FIrst 3 letters of Last Name
YYY - First 3 letters of First Name
    ## - 01,02,03, etc.

This gives you an alpha sort on the Employee ID and also gives you 99 people with the same letter combination to go thru.  I don't believe any of my customers have ever exceeded this maximum.  Just my 2 cents.

Thank you John!  I'll throw that into the mix of ideas!
