Automating Timesheets?

Hi all. I am new to the group. Looking for some advice on automating timesheets. Currently, we have paper forms and manually add job numbers and cost codes into the PR module. This is not a good use of time from the collection of timesheets, reviewing timesheets, and also entering the data into PR.

I would love to know what others are using that works well with Sage300. Please share any pros and cons of the software you are using. Thanks in advance for your help!

    We have used AboutTime and are switching (today, actually) to T Sheets. The employee enters job and code, you still import time to PR, but now, from the program. It's still work, but way less than the paper time sheets, timely, and compliant with regulations.

    Hello,

    We are in the process of setting up Sage Field Operations to automate our timecard process.  Program fully integrates through a Sequel Replicator, with dropdown selections for EE, Job, & cost codes.  Supervisors will create their crew's timecards, Supervisors will approve, PR will do final review prior to posting time entry to PR.  I can't wait till we are 100% functional, ETA mid-January.  We average 180 field Employees.

    Hi- We did in-house PR for many years and switched to Sage 300 CRE Jan 2019. Multiple companies with complex PR....Just throwing it out here...I have signed up for UAttend online. Unlimited users is like $130/month. The web portal can be setup to gather MOST of the needed info from employees and then dump into a EXCEL and update and upload to PR. Not the best way but it works well....I made the 'Locations' in Uattend the JobCost #'s....With minor tweaking...you can gather required data...Fully Automated PR is tough unless you have a straight forward situation....Good Luck!!

    We use Exaktime and it integrates with Sage 300 CRE.  The employees clock in and out from their phones in the field and we review and import the time into Sage.  It works really well,  We have multiple jobs, cost codes, and prevailing wage and it handles all of it.  It can also track equipment hours on jobs.

    Hi Nikki, We also use ExakTime but have not successfully figured out how to integrate with Sage 300 CRE. Were you able to figure out how to import the Equipment hours as a part of the upload?

    Sage & Arcoro (HR & Time) announced a partnership that might be worth looking into related to time capture that will import directly into Sage PR.

    Also, VanaG.  I would reconnect with ExakTime  support because they are owned by Arcoro.  We have many client that use ExakTime  with great success.

    We use HH2. It works very well for tracking to jobs/cost codes. We have our Superintendents track time for the whole crew and employees sign off on their timesheets daily with their super, upper management approves their selected crews and then accounting does a final review and export. Once reviewd and approved it takes all of two minutes to export the data into Sage from the HH2 website. It is easy to use, so even our least computer savvy people do not have issues.

    Some cons: we use mulitple worker comp codes and that process is not in the HH2 platform, so to work around this every job is set up in payroll with a cost code to worker comp code table, so not a major issue. You cannot code time to equipment. There isnt an easy way to verify Start/stop times with time entered. IE: if Bob is put down working 8a-5p wednesday, but no time was broken out for wednesday there isnt a flag except on the timesheet view itself.

    Hi C.M. Slagel -  We were faced with this exact same dilemma a while back.  Not to take away from what SAGE offers in a separate module that is more "Field" specific and supposed to cover this timesheet challenge.  We did look into it and decided it wasnt really what we needed at that time.  With that said, we already had our Field Timesheets created in an excel file and we used to have a local printing company print booklet pads in NCR copy style (White, Yellow, Pink copies) then our foreman on the job would hand write the employees time and send in to our office to process.  In 2018 we wanted this to be accessed online in a webpage that the foreman can use.  I wanted it to be as close to handwriting on paper sheets as possible.  The biggest challenge was converting the excel file to a webpage and to keep the same aesthetics and formatting of the excel file and to keep it as simple as writing in the info by hand.  After many hours adjusting formatting and testing trials and submitting and receiving the timesheet files we finally got it dialed in and working in the end. All (well almost all) timesheets now come into a single email address we had set up on our network in Microsoft Outlook from the website.  As far as entering data from the timesheets into SAGE, that is still done manually for now.  We have jobs set up already using the Job Cost module and for cost codes, those are auto assigned attached to Labor inside the Payroll module Tables.  We enter employee, WC code for type of work being done by that employee and a labor cost code defaults.  We use something like; Fabrication Shop Labor - Regular pay hours = cost code 1-225, Overtime pay cost code = 1-250.   Field Labor we use a different set of cost codes like Field Reg Pay =  2-225  and OT  2-250.  Hopefully we can automate and just import the data in the future but still would need to be reviewed prior to importing by someone.  Good luck to you with your timesheet challenge.
