GL transaction file in use error at login

SOLVED

We have a frustrating situation where, if someone prints a GL report to screen and leaves it open, another user cannot login to the GL application.  They receive an error message, "GL transaction file in use."  If the user in the system closes that report on the screen, the new user can login.  This problem gets more complicated when multiple users are in the system and multiple users have reports open.  We usually just ask everyone to logout so the new user can login, but this gets annoying real fast.  Does anyone have a solution for this problem?

    Are the uses using Desktop?  also, are they running these reports from the applications - like GL report from GL?  How many licenses do you have per application?  If you have one use per app i suggest using IA if the users and not directly entering data into the applications.

    Hi, Bill.  The best answer I know to give about Desktop is, we have it and people are supposed to be using it, but are they 100% of the time?  I could not say that for certain.  We have enough GL licenses because almost no one besides Accounting staff accesses GL and we have one more GL license than Accountants.

    Can you provide more details as to when this happens? 

    Which report(s) are they leaving open, and are they Crystal Reports or Report Designer reports?

    Which task is displaying the "Transaction file in use" message?

    Which version of Sage 300 CRE are you using?

    Hi, Jesse.  First of all, after I sent this message, I've been told by my staff that it doesn't seem to just be keeping a GL report open which causes this problem.  We've had situations where our AP manager is modifying an invoice in AP and it generates this error message for someone trying to login.  Nonetheless, let me answer your questions.  They are Report Designer reports and, to my knowledge, it could be any report.  Most recently, I had run a YTD Ledger and left it open and that prevented a user from logging in.  The "task" which causes the error is logging in.  The user has not even accessed the GL application when they receive this error message, the exact text being, "GL Transaction file in use," and it shows the path to our CURRENT.GLT file.  Finally, we are on version 18.2.2.

    Hi Ken,

    A "File in Use" error would be unusual for anyone to see when just logging in. That error is reserved for tasks that require exclusive access to the data file, such as Close Fiscal Year, Post Entries, Or Move Transactions.

    It sounds like the users are seeing this message upon login, which warrants further investigation. 

    If you have a support plan, you will want to contact Support and have someone look into this with you.
