Emailing of statements to multiple

We have multiple companies with over a hundred properties, in Sage 300.  Run reports for statements in the PM reporting.  Is there a way to set up a customer to have statement emailed automatically without having to individually go in and print each statement by itself, attach, and email? 

  • Look at Wellspring's PrintBoss. It can 'look' at the page you're printing and can send an email with a PDF attachment. The Enterprise version of the software is more powerful allowing you to change the name of the PDF on the fly. It has a host of other features as well that make the product well worth the purchase.
  • you can also look at DocuFire but it's quite expensive. It can group multiple invoices into a single send per customer, and it also has the ability to attach all the invoices to the statement so that the customer has a copy of the corresponding invoices. It also give you the ability to add additional recipients to a single customer (fax, email, or both)
  • A third option is Key Communications by Pacific Technology Solutions.

    While I like and use PrintBoss as well, Key Communications does not require any report mods, stores unlimited contacts, you choose which contact gets which documents, and it stores all communications in the Sage 300 database, so if more that one user is sending things to clients, other users can see the past communications and resend if needed.

    Please feel free to take a look at Liaison Messenger EDD by Liaison Software, it can automate this process for you. Liaison Messenger EDD relies on your existing print procedure so there is no training the end user. The only change to the print selection is that you print with the Messenger EDD print driver. 

    As an example, let's say you go through the standard Statement print selection in Sage 300 and select all customers with a balance of X number of days. By printing with the Messenger EDD print driver a PDF of the print stream is created and sent to the Messenger EDD print server which you have running (as a service) in house on a workstation, server, or in a hosted environment. Once the PDF is received it then follows a rules script related to the statement report and then batch emails, batch faxes, prints, archives and attaches supporting documentation.

    A key feature of Liaison Messenger EDD is its ability to attach supporting documentation to outbound documents. It also allows you to automatically print the attachments or archive them grouped with the initial doc. processed.

    One very popular feature if Messenger EDD is its ability to attach all invoices listed on the statement to the statement in one PDF.
