Accounts Receivable Report

Is there a way to print a report that shows what payments went to what invoices?  I printed an "Invoice Listing" report, but it just shows paid and not the client's check number.  I need to show the client which payments (with the check no.) went to which invoices.  I hope I'm making sense!

  • I didn't quickly see how to get the invoice # and the check # on the same canned report.  So, I think you will need to create a custom A/R detail transaction report and add the check # to that report.

  • When I run the Invoice Listing report, and in the Options section check the box next to "Show transactions applied to invoice," the report shows which payments (by DATE) apply to which invoices.  It does not show the check numbers, but unless you're getting more than one payment from a client on the same date, it should give you almost all of the information you're looking for.

Alternatively, you can run the Payment Distribution report (from the same A/R Transaction screen), and tell it (under Options) to set Report Style = Detailed Format, and you will get kind of the opposite report -- showing all payments and which invoices the payments were applied to.  This report DOES show the check numbers, and if your clients tend to pay their invoices in full per payment, then you'll have all of the information you want.

  • Laurie, thank you so much.  The "Payment Distribution" report was exactly what I wanted!  I erroneously marked the prior reply what worked--didn't know how to reverse it.

Thanks to the both of you for responding so quickly.

  • I'm trying to run a monthly income report by attorney and then by client showing income received for the month no matter if its by check or taken from the funds account.  The Payment Distribution report always comes back "no data available" - the collections report looks just like the billed report.  Can anyone share what I'm doing wrong?

  • Usually, if you get a "no data available" result, it is because your filters are set too narrow to allow the data in.

    Hope this helps.

  • How do I go about correcting this "narrow" filter situation.  I'm using a Timeslips 2012 report and only changing the date range and the timekeeper.

  • If you're not getting any results, then there IS no data that matches your filters -- unless there is something else going on, of which you are unaware.  So, are you completely certain that the filters you are setting (for the attorney and the time period) should give results, then you need to look more carefully at the situation to see if you can figure out what's going on...  The first thing to try, usually, is to either include more attorneys or include more time, so that you DO get results, then see if that tells you anything about why you're not getting the results you are expecting...

Hope this helps.  If not, we either need more information, or you need to hire someone to help you figure it out.

    Good luck!

The Payment Distribution report does not have a Timekeeper filter, so I'm not sure what report you are working with.

  • Accounts receivable report does not allocate income by timekeeper. The only report that will show the recedipts by timekeeper is the collected report.

  • Thank you for your help.
