Timekeeper designations

SUGGESTED

I have several clients for which we create audit house files - usually LEDES 1998B, the problem is some require the paralegals to have the abbreviation PL and some require LA.  How do I set that up?  I don't want my timekeepers to have 2 different names and have to remember which one to use for which of our many insurance clients.  I'm not sure I can set this up in custom fields or in the audit house fields.  Can it be done through a template?  I'm not sure how to set this up.  What I have been doing for years (instead of figuring this out) is once I have the LEDES file I open it and do a global search and replace.  I would like to stop wasting my time on that, especially as some of the clients instead of batch billing require one, by one loading.  UGH!  Thanks for your help.

Hmm, you 'might' be able to handle it via two different custom fields and two templates, but I have not tested it.

My way which I have done for years might be the easiest.

It would be great for this and other reasons if the Audit House links had more fields that I could manipulate and convert.  For example our crazy law firm has changed names multiple times and some of the companies are unable (so they claim) to change our name in their system, at least without them doing a major overhaul, so I also have to change our firm name in a global update sometimes.  It is just crazy all the third party platforms and how different they are.  Some clients use the same platform but their rules are different and designations are different.

Yes, you are absolutely correct.  Even though LEDES1998B is supposed to be a "standard" we regularly see all sorts of things that violate the "rules." Or one company insisting on one value and another wanting something else.

That is EXACTLY why Timeslips introduced the idea of multiple electronic billing templates.  So that you can set up multiple iterations of LEDES1998B that pull from the different data elements the way that particular audit house wants them.

Yes, you can continue to edit the file over and over again.  It works. There is nothing inherently WRONG with doing that.  However, it is susceptible to a couple of inefficiencies.  1) you have to keep doing it over and over again every time to bill 2) you have to remember and manage which ones need to have this edit made to them 3) if you get hit by a bus (or want to take a vacation) does anyone else know that this extra little thing needs to be done? 4) You could forget, or accidentally search and replace incorrectly and mess up your file.

Creating the second custom field/template would take a few minutes to do, but over time, it would be more reliable and faster than doing the edits many times over.

    Just my $.02.

Correct, no one has any idea what I do and how I modify for each client.  I worry about this all the time which is why my life span is certainly shortened.  ;)  As you said, we don't know for sure how it would work.  I already have several LEDES1998B templates to pull different things, I just have never figured how to make different timekeeper roles - I'm guessing just add extra custom fields and pull.  Still note clear on how that would happen.  Thus my total avoidance of this issue.  ;)

Well, here if you would like help with that. #ItsWhatIDo

It would involve a fee for service, but should not really take more than 1/2 hour to set up.

Reach out if you would like assistance.

If you have a relatively new version of Timeslips you can set up different templates for each LEDES export based on the client, and use different custom fields.  I hope this makes sense!
