How to update the license for Sage X3 - The Basics

Have a new license files and do not know what to do with it? Do not know where it goes? How to use it? Well just your luck, today we are going to look at updating your license file for Sage X3. This will pertain to Product Update 9 and higher (PU9) versions. It could be similar on other versions (not like V6) but we are going to focus on more recent releases. I know that some of you may already know this, but I have seen some requests recently on how to do it. I also noticed we do not have a blog post on it.

So… here… we… go…

On PU9 and higher, it is actually pretty easy to update the license file. There is a function in the Administration module to “upload” your new license file. This is very common to do because any time you purchase a new module or add-on, you will get a new license file to “unlock” those abilities within the software.

So typically, you will get some sort of file, primarily a JSON file.  It should look somewhat similar to my screenshot below.

  

This file has the recommended License settings for your specific purchase. Every time you purchase or cancel add-ons your license will change. They also have any expiration date to them, which we will look at later.

To update you will need a user who is part of the “Super Administrator” group. Only the Super Administrator group has access to the upload license and license data functions by default. Note that permissions can always be changed so it is typically best to use the ADMIN account just to be safe.

We are going to log into X3 and go to Administration, Administration, Licenses, License upload as seen in the screenshot below.

 

Once you get there you will see a drop box field and a content field.

There is two ways you can do this. The First way, you click on the select file link within the Upload field and browse for your license file and attach it.

Once its done attaching the Upload field will look like so..

The Second way is to open the license file and copy / paste the contents into the content box below. I am not going to show how to copy/paste because we should all know how to do that by now. I will also not be showing how to open the file as its really a text file so you can open it with any text file editor. What makes the file unique is the encryption key string across the bottom. You MUST include the encryption string in the copy/paste.

Note: it is important to not do both. I mean:  DO NOT DO BOTH AT THE SAME TIME. It will not work.

 

Once you decided on a way to upload; Then you would click the Upload license to upload it.

 

If everything went well, you will get an OK banner across the top of the Navigation screen.

Now all you must do is sign out and back in to refresh the session for the new license. That’s all there is to it. You can always double check what your license unlocks or includes by take a look at the License Data function.
