There are several ways to generate an asset in Sage X3,
- Manually enter an asset in Fixed assets, Fixed assets, Assets,
- Expense capitalization from the Asset management (GESFAS) or in Capitalization of expenses (LOFGRPFAS) by grouping the expenses in Fixed assets, Processes, Movements.
- By importing a single or a set of assets by using an import template.
In this article we will look at an import process:
- A common scenario where we would use to import the assets is when bringing in assets from a legacy system.
- Prior to importing the assets, in a PILOT folder we need to make sure that the depreciation context for the company(s) with fiscal years/periods are setup in fixed assets.
- In Setup, Usage, Imports/exports, Import/export templates, select the FAS standard Fixed assets import template.
- Copy that template and create a new template ZFAS.
- Now you can edit this template by removing the unnecessary tables and fields.
- In this example, I am using only the FXDASSETS and DEPREC tables and removed the PHYLET and CCNRPR tables as they are not being used.
- When it comes to selecting the fields, export a sample asset by setting the “Export” flag.
- If you know the asset reference AASREF, click the export button and paste the reference under criteria.
8. Set the general parameter REPDPRCUM in AAS/IMP group to ‘Yes’.
9. Use the Exports function in Usage, Imports/ exports to export the sample asset into a text document.
- Use notepad to review the fields that have values and modify your import template fields.
- This way it is easier to correct any errors when you test the import file.
- I have edited my template to use only the necessary columns.
- Import file is ready to use.
- Note, prior to importing, uncheck the ‘Export’ button on the template.
10. Import the file using the Import function.
- Use the Test button to make sure the fields match the values
- Use the OK button to go to the DEPREC table.
- Once you have verified the information you can import the file to generate an asset
- Fix any errors that show up on the log.
11. Once the asset is imported, review the asset(s) and activate it.
- Activation will set the depreciation end date.
