WBS Codes are not defined

I work for a company that uses Estimating and I recently helped them upgrade to 19.12.  I don't work in Estimating but help them with their IT needs.  All of the sudden when they create a new estimate they're receiving the message:

the following database Wbs codes are not defined in the the 'estimate name' estimate.  

Job Cost

These Wbs codes will not be included on estimate items during takeoff.

When I look in there DATA tab and WBS I can see the Job Cost code for both the Estimate and Database and they match.  

This is only showing up with new estimates.  Can someone please help point me in the right direction for a solution?  Thanks

    You say they're "both the Estimate and Database and they match". Are they the same # on the WBS table ie are they both WBS #6 or whatever the # is? Are they both the same size and same type and same unit of measure?

    Thanks for the reply.  I do not work in Estimating so I'm hoping we're referencing the same thing.  When they view the Data tab and click "WBS" they see the WBS Settings screen where you can view either the Estimating or Database codes.  Each one only has 1 code called Job Cost.  If I "edit values" I see that a few values are not the same.

    Is this the table you're referring to or is there another database table I need to look at?  Thanks again.

    yes, this is the table I'm referring to. If you toggle back and forth between "Estimate" and "Database" are all the fields for Cost Code EXACTLY the same? Same: Size, Type, Unit. Is there a 'space' after the description of either (you'll need to dbl click into the Name to find out) are they both listed on the 1st Row of the table. Etc. Basically, they must be identical or your user will get that original message. If they are identical, then I'd check to be sure that you are using the same estimate that the estimator was using.

    I worked with the tables this morning and they were not the same.  I went to the Database table and exported everything over to the Estimate table.  They are identical now but when I reopen the Estimate I still receive the same error.

    While working with it I'm curious as to why a new Estimate is not pulling the WBS codes to begin with.  A few years ago they did upgrade from Pervasive database to SQL database and I know their current database was created years ago while using Pervasive.  Could this be the issue?

    Sound's to me probably in the new upgrade the wbs were not transfer to new database. And any old estimate that you open you will get the message that warn you the wbs is missing.

    Here what I would like to check and record  before make any new changes...

    1- open an old estimate file and see the old wbs were standing(row number). Like above table

    2- then, go to the new database and see  where the wbs is seating in the new darabase(probably is empty)

    3- let me know where are you at...

    4- for the job cost code you must re-connect with project setting

    They only have the one database that they use.  When I open an old estimate file the wbs looks just like it does if they try creating a new estimate.  Hopefully I'm looking at what you're asking for...

    1) About the WBS

    1-1)When you go to the below 

    Check what is the pre-existing WBS in the estimate that just opened.

    1-2) Then at the same time go and check what the alive WBS define in the database that you are working on (below)

    If you have a pre-existing WBS in your database that never defined (the same) in the current estimate you get the note. remember there are 40 WBS can be define in the estimate (or database)

    2) For job Cost Codes - Goto project information  and find the below

    You must connect the "job Cost System name" to your accounting file

    1-1)  When I first open an Estimate, Data tab and WBS I see the following.

    1-2) This is what I see when checking the Database WBS.

    I've scrolled all the way down and the first line is the only code listed on both.  When I Edit Values on there are more values in the Database code than the Estimate.  I have tried matching the two codes on one particular Estimate but the error still appeared.

    2)  Here's a screenshot of the Job Costs Information.  Is this used if the link to their accounting records?  I'm not sure if they're doing that or not.

    Again, thanks for the help.  I apologize for not knowing the system that well, but learning.

    No worries, I am expecting you are getting the below message :

     

    This means I open an old estimate that never ever generated with your current selected database.

    Once Sage Estimate generates an item then won’t recall and update the item again from the database.

    That’s why your old estimate won’t talk and update as per your database!

    For example, create a new blank estimate from sketch with your database (put few items) and close and re-open it again. You won’t get any warning message like that.

     

    “When I Edit Values on there are more values in the Database code than the Estimate” Hey, for sure there should be more values in the database than the estimate. This is not a problem.

    The point is the existing generated items in the estimate need to be re-tagged to your current WBS1

     

     

    Okay to solve your current issues, first make new Tab with “Sequences” and “Group Hierarchy” with the “Job Cost (tagged in your system as WBS Code 1)” and see what you get. Anything classified as “*unassigned” means needs to re-tagged. Hoping not getting a lot!:(

    I would make the correction like this …. Select entire row (like excel), right click and use the “move” and follow the below screen shot to find the correct WBS 1 in your current database:

     

     

    As far as I can see there is misinterpretation between what you and I about using WBS (as cost codes in WBS part,  which is okay for cost organizing etc !) with what Sage Estimate use Cost Phase Codes to communicate with Sage Accounting Departments. Apparently your company is not using this sounds to me, so you shouldn’t be worry.

    When creating a new estimate and I receive this message do I start by choosing yes or no.  How do I link the new estimate to the database?

    Well, I must say that, for new estimate.

    Here are the principal steps that you need to check/take:

    1- Assign the database [the most accurate and updated that your company have right now]

    First, you must go to "File", " Open Standard Database" and then select the database

    After this on the very top window, you must see the "Sage Estimating - XXXXXX(your database name

    2- Make a new empty test estimate

    First, go to "File", "New Estimate" and follow the instruction. Make sure you is connected to the database

    For the new empty test estimate, you mustn't have the issue

    Those are exactly the steps I've been taking and still get the error.  They only have the one database to choose from and it is shown in the "choose a database" field.

    I am assuming you are complete all steps. yeah, you are in the right track ! no problem and keep going.

    If you get the warning message choose "YES"; use the database.

    Yes that is what I've done.  After I choose yes the "Estimate Information" screen shows up.  Do I need to change anything on this screen or just click "ok"?  If I just click ok and close the estimate and open it back up the error appears again.

    The "Estimate Information" is nothing to do with the Database that you have picked, so don't worry about the "Estimate Information".

    After this, call out few items into the estimate. Then close the sage.

    I would say if you open it again... you must not see this warning...unless the estimate has lost the connection to the database which right now you know how to re-connect it.

    All you must be care and be care full all your old estimates. I explain before how you can check and see in a new specific tap
