What should I do if I am unable to email from Sage 50 2018?

A lot has changed since my colleague's 2014 blog post on issues emailing from Sage 50. Should you have an email issue after upgrading to Sage 50 2016 please see the information below for options regarding Webmail connectivity and or Outlook setup.
 

What's new in Sage 50 2016.3 (with Hotfix)?

Sage 50 Version 2016.3 (with the Hotfix) now allows you to use popular web-based email services like Gmail, Yahoo, Outlook.com, or Outlook 365 with Sage 50 Accounting. The desktop version of Outlook 32 bit and 64 bit is now supported as well.

Gmail Setup

There are about 5 steps to configuring Gmail Security (KB 77257 also exists on the subject), once done you should be able to email directly from within Sage 50 2016.3+:

STEP 1: Visit the Allow a new application to access your account page at Google.

 

STEP 2: Click Continue.

 

STEP 3: Within 10 minutes, have Sage 50 2016.3+ send an email, then check the previously blocked email service or program for sent messages. If no error results, then proceed to Step 5.

  • Gmail will remember the email client, device or service, of course, and allow it access to your account in the future (so long as it uses the correct user name and password for logging in).
  • *NOTE: Logging on from different “locations”, may cause Google to flag your login activity as being fraudulent. Under normal circumstances, gmail.com may still let you log in, however they may block outgoing SMTP calls.

 

STEP 4: https://www.google.com/settings/security/lesssecureapps which, if you toggle “Turn on”, will allow the SMTP connection to work.

  • Further to this, companies that subscribe with Google to host their email accounts on gmail.com may not allow employees to manually change this setting either, in which case the administrator would have to do this for them.

 

STEP 5: With gmail set to auto configure in Sage 50 (Setup > Settings > Company > E-mail, Webmail), now retry sending invoices, etc. Should go through without error.

 

 

For Other WebMail Setup in Sage 50

 

STEP 1: From home select Setup > Settings > Company > E-mail, check the box to use a webmail account, select the add account information link,

 

  • NOTE *For security reasons Sage 50 will not store your email password and will ask once per session for you to enter it manually.*

 

STEP 2: Select the radio box for the webmail account used and enter your email

  

NOTE: The Other email option allows you to configure your webmail account manually, otherwise if its Gmail, let it configure itself automatically.

  

 

TIP: Invoices and forms can be emailed to multiple contacts simultaneously just separate each with a comma or semi-colon.

 

Configuring Outlook to work with Sage 50

As stated, you can now use Outlook.com, Outlook 365 or the desktop versions (in 32 bit and 64 bit).

 

MAPI Email Programs

Sage 50 can integrate with MAPI enabled email programs such as MS Outlook.

See Start > Default Programs, to set your default e-mail program. For more information regarding troubleshooting the connection see the KB 10731 entitled Error: "Email MAPI error : An error occurred in sending the message."
