Sage CRM 2019R2 with Sage 300 2020PU1

Hi all,

Just upgraded a customer from Sage CRM SP3.4 to Sage CRM 2019 R2 (went through to 2017 first and then to 2019R2) and integrated with Sage 300 2020 PU1

This customer is a lil' bit upset and wants to go back to 7.3 (!)

Issue 1

In 7.3 integrated with Sage 300 2017, they were able to convert a lead to an opportunity and create a OE quote and the address of the company would port over to the quote. CRM 2019 does not do that. Spoke with CRM tech for over 2 hours and finally they said it was by design.

Issue 2

In 7.3 with Sage 300 2017 integration they were able to copy and paste a blurb of item details in the comment/instructions field of the item line on a quote. Now the system wants them to enter the details line by line.

It was suggested to me to email the product manager to see if changes can be made.

Any one of you run into these issues? What would you recommend?

    I may not be much help as we don't work with Sage 300 2017, we integrate with Sage 300 CRE which does not integrate out of the box.  With that said, regardless of the integration, I will see if I can help answer your questions. I am not aware of significant changes between 7.3 and 2019 for quotes.

    For Issue #1, I am wondering if it could be related to screen setup.  In my system the address does come from the company when creating a quote.  There are two addresses on the screen, a billing address and a shipping address.  The box below each of the addresses lets you change these any company address.  I would check and see if these fields are on the screen.

    For Issue #2, I don't have 7.3 on my system to see what they might have been doing in 7.3.  However, it sounds like they might have been using the "Free Text Item" which would allow them to type what they wanted.  You can see the button highlighted below and then the box that comes up when clicked.

    Address issue.

    - I have a lead where I have entered the address

    - I convert that lead to an oppo and then generate a quote from that oppo:

    Lead:

    Here is the company the lead is matched to and I have the address in there:

    Here is the opportunity linked to that company:

    I do a quote:

    Since this is a lead and not yet a customer in the ERP system, we are assigning a generic customer number: CRM99999999

    If you click on the 3 bars next to "Customer Number", you can access the "Customer Bill to address"

    But it is all blank

    I understand why it would be blank if I was doing a quote directly in Sage 300 ERP but from Sage CRM since the system has the address from the company setup in CRM, it should default to that address. No?

    Why would we make users have to re-enter the address again?

    Comments/Instructions issue

    Users were able to just copy paste a blurb before in the comments column of the line item on the quote/order. So say I want to copy some specs:

    I have to 1. click on "add line" first:

    When I copy and paste my blurb in, it only copies the first line

    Now I have to click on "add line" again and add the second line only and so on and so forth.

    Not very user friendly. User needs to be able to paste 250 chars in here in one go - not line by line - like a memo field?

    Hi Michelle,

    I posted some screenshots below. There is no "free text box" in Sage CRM 2019 or the webscreens. Might be something that you customized.

    I think it may be worth investigating how addresses are brought across from Leads. 

    For example

    If the Lead is matched to an Company but the Lead Contact is 'new' then the address in the Lead is associated with the person and not the company.  

    If the Lead is for a previously unknown Company (and Contact) when the new Company is created the Lead address becomes a company address.

    It is not an issue in CRM. It is an integration to Sage 300 issue. CRM is saving the address for the company when the lead gets converted to an opportunity.

    But if we do a quote then for that opportunity, it is not pulling the opportunity address in the bill to address.  Since the customer does not exist yet in Sage 300, there will be no address in the bill-to field which makes sense BUT since we are generating a quote from an oppo, the system should be smart enough to pull in the address for the compan from the CRM oppo.

    It puts the company name fine (although that company has not yet been promoted to Sage 300) so why not the address?

    May I add an Issue 3.

    Can you select more than the two standard forms when emailing a quote/order from an opportunity? The drop down only has OEQUOT01 and OEQUOT02. We have multiple quote forms depending on the customer.

    I am just throwing this out there since I don't actually work with the Sage 300 integrated product.  However, since I see this is a drop down list, I am wondering if this is something that needs to be adjusted in the selection list or in translations?  I don't know where the field (Report) you are referring to is setup.  However, I would go there and see where the list is coming from.  Maybe you just need to add more selection items to translations?

    Again, just a recommendation based on how list selections sometimes work.

    These are the Sage 300 webscreens and not accessible (that I know of) within Sage CRM.

    There is also a bug on this screen where when the system automatically fills in the email address in the "To" field, the <Send Mail> button is still greyed out.  You have to make a change on the <To> field to make it available.

    To be able to use this screen to send email you have to set the email server name and credentials in Sage 300 under Company Profile. Why wouldn't it just use the setting in CRM when it knows we are running this from Sage CRM since this tab is not available when you run it in the webscreens in Sage 300???

    Also, it would be great if sending an email from here would create a communication in Sage CRM!

    Regarding the email settings, it's understandable that those settings are maintained within Sage 300 as CRM is simply displaying 300's webscreens.

    What would be handy is the ability to edit the new opportunities description and assigned user within the CRM opportunity tab of the OE order.

    I also second that the <TO> field validation is buggy.

    Also the item finder within the details grid doesn't allow for partial matches. Entering the start of an item number followed by pressing the item finder causes a validation error rather than the search screen displaying 'Item Number starts with' filter.

    I would have agreed with you regarding the first part of your reply other than the fact that that last tab is only available in Sage CRM and not when calling the OE quote/order webscreen from Sage 300. So in my opinion since this tab is only available in Sage CRM then make it easier for all of us and keep it consistent.

    I agree on the item finder issue.

    You gave me a great idea with your post. The CRM opportunity tab is just a customisation in the Sage300 online folder (Online/web/areas/oe). That's why it makes sense to use the SMTP settings in Sage 300 rather than CRM.

    I went in and modified the 'OE.Opportunity.js file' within the scripts folder to include our custom OE quote RPT file. It seems that the drop-down list is hard coded to those two values. I edited the file and added all my custom RPT files in:

    They are now available in the drop down list in the CRM opportunity and work as expected:

    That's cool Serge! I normally don't do multiple versions of forms unless there is really really no other way. I modify the form with the different criteria. I do that so that customers do not have to pick form versions, they just use the default one. One thing I have not tested though is: does it use customization directories if I have that setup in Sage 300?

    Hi Prabha, the Quote and Order screen is actually coming from the Sage 300 OE Order Entry webscreen. Would that also be an issue for the Sage 300 webscreen customer even not using CRM Integration?

    It does. Also, I received a reply from sage regarding the item finder issue. Their devs are looking at it.

    Oh I am not sure if the item finder issue will be fixed but I got this from Sage:

    Product updates will be out for both 2019 and 2020 on Monday April 20th.  As well as new integration for 2019 Product Update 5 and 2020 Product Update 2.

    There is also a hot fix out for copy and paste for 2019, and only for 2019 not available for 2020.  Fixes for 2020 are in Product update 2 and CRM integration Product update 2.
