Serial Number Issue

A little background to start off with.  We use Large Hydraulic Cylinders and track them using our I/c serial numbers module.  When we take it off a truck to be rebuilt we assign it a COXXXXXXX (Core) item number.  Once it is Rebuilt we adjust out the Core and receipt it as a CYXXXXXX (Cylinder).  We then make a master item assembly with the seals used to rebuild it and assign it a RBXXXXXX (rebuilt) Item number.  My issues is that at times during receipting and invoicing people have entered an extra space or transposed numbers at times.  I would like to get the numbers straightened out to the proper serial number that is engraved on the cylinder.  Serial number is no longer available to ship because; A, It was a core and the core was adjusted out because it no longer exists once its been rebuilt. B, The Cylinder was used in the assembly to create the RB (Rebuilt Cylinder).  C, the Rebuilt cylinder has been shipped out to be reinstalled on a truck.  Is it possible to then change the serial number if I do not have the item in inventory to begin with.  When I try to ship out a bad serial in serial reconciliation I get this error.

Any help with this would be much appreciated.  We rebuild these cylinders 3 times so the more accurate the serial number data the better.

I mainly just want the entire process to use the same 3 serial numbers

    407552 KAS C 120

    CO407552

    407552 KAS C120

    CY407552

    407552 KAS C120

    RB407552

For example here I want to change the top line to match the bottom two even though none of the 3 are on hand.  Because the rebuilt cylinder is on a truck.  What would be the proper steps to eliminate that wrong serial and only have the proper one?
