Managing Transaction Optional Fields

We are a company that hosts a number of concerts, each with their own 'Transaction Optional Field' so we can attribute each sale and invoice spend to a concert if we want to pull a report by Transaction Optional Field.

The list is getting quite long since we do ~500 concerts in one year. Our 2019 year-end is coming up soon, meaning in 2020 I have no use for a lot of these optional fields when assigning them to transactions. Is there a way on our side to 'archive' them? Ideally I'd like the transactional information to still be there incase I need to pull a report, but for them to be gone from the list when choosing fields going forward.

I would probably want to archive the 2018 codes and then archive the 2019 ones in 2021.

    Tairox has a utility to manage Optional Fields. It doesn't do exactly what you want but it does get close. They also may be able to do a customization so you could ask them about being able to archive the optional fields or re-code your older ones so that they appear at the bottom of the optional field list.

    Alternatively, Orchid's Extender could be used to make it easier to select the optional fields by filtering the list of values using some sort of logic. In addition, the button to select the optional field value could be placed in a more convenient place for the end user.
