We're seeking to improve and streamline our PTO tracking process for our biweekly employees. At present, these employees or their supervisors email me with the dates they took (or will take) PTO and the amount of hours (4 or 8). I then plug the hours into a PTO tracking spreadsheet (which cross-references this info against their 2019 carried-forward hours and their 2020 PTO amount limit), retype those hours into a biweekly time spreadsheet, convert part of this spreadsheet to a CSV file, and upload the data to Sage via Visual Integrator. I recently learned about Sage HRMS and Insperity, but neither of those options are possible for us at the moment. Outsourcing payroll has been acknowledged, but is also far down the line of projects to be tackled.

Clearly, we have plenty of room for improvement to this legacy procedure. In the short term, I envision something like a simple app, accessible on smartphones, laptops, etc., where biweekly employees submit PTO requests to supervisors; when they approve those requests, the dates and hours flow into a format I can review and upload (perhaps with a small amount of formatting) directly into Sage. Have you encountered anything resembling this app? What other ideas can you suggest? Please don't hesitate to respond with questions as well. I've been working with Sage for three years, but only half of that time has been dedicated to payroll.
