Preparing for a Folder Validation on a System where Version One’s EDM/PIA Software has been installed.

Sage X3 is able to integrate with Third Party Software Packages to provide extended functionality to enrich the Product. One such Software Package is Version One's Data Management Suite which comprises Electronic Data Management (EDM), Purchase Invoice Automation (PIA) and Sales Invoice Automation (SIA). The Software is used to Scan-in and send out PDF Documents such as Sales and Purchase Invoices via email.

As part of the installation of Version One’s (V1) EDM/PIA/SIA Software, configuration settings are made in Sage X3's Miscellaneous Tables.

If a full Folder Validation in Parameters > General Parameters > Folders (GESADS) is carried out after setting these entries up, then they will be removed by the Folder Validation under normal circumstances and would have to be re-entered – otherwise, V1 Software will not work properly.

Information is entered in Development > Data and Parameters > Miscellaneous tables > Data (GESADI) within the relevant Folders to hold information required by V1 software:

  1. A new Miscellaneous Table, 81 is created to store the Volume Identifier for EDM

2. New entries are created in Miscellaneous Table 902 for V1’s Document Types

To avoid losing the data in Miscellaneous Tables 81 and 902, follow the steps below to create a Patch in X3 and then apply it after executing the Folder Validation.

  1. Create an X3 Patch (Development > Utilities > Patches > Patch Creation (APATCH)) to extract the data for Tables 81 and 902

After creating the Patch:

  1. Copy this patch file to a secure location with a descriptive name - in this case V1_MISC_TABLES
  2. Run the folder validation
  3. Integrate the patch file to re-introduce the data

    

This Patch can be applied to "restore" the Miscellaneous Tables after any Folder Validations in the future.

If the Folder Validation has been run without first creating a Patch and you need to recover the missing data, then you can either:

1) Re-enter the data:

  1. Manually re-enter the missing data in Misc. Tables Data (GESADI) for Tables 81 and 902
  2. Create an X3 Patch as described above

2) Create a Patch on a Test Environment:

  1. Restore the Folder Data (SVG) on a Test Environment, having ensured a backup of the Test Environment is available 
  2. Create an X3 Patch as described above
  3. Integrate the Patch on Live as described above
