Emailing Purchase Orders

Hello

We have recently began using the purchase order module and I can see that when emailed, purchase orders are sent to the default email address in the supplier file.

Is there anyway of amending this on a case by case basis? Is it also possible to put in multiple email addresses?

    Hi Emma,

    Your supplier record can hold up to 3 email addresses, you could edit your layout to send to all 3 of them if you wanted. You can edit your layout by following the below steps.

    1. Go to Purchase Orders > Select Print

    2. Find the layout you use to email and press Edit

    3. Report Designer will load > Go to Report on the toolbar and Email Settings

    4. Select To and then Add (Next to Expressions that define the people you want to send the report to)

    5. You can then add PURCHASE_LEDGER.EMAIL2 > OK and PURCHASE_LEDGER.EMAIL repeat 3

    6. Select OK on the email settings screen and then File > Save (or save as if you've not edited this layout before)

    This will mean gong forward that your layout will attempt to send the purchase order to all 3 email addresses on the supplier record.

    Hi Ian - thanks for this. We don't necessarily want to send to two people at the supplier, but rather one copy to the supplier and one to the person requesting the PO within our organisation. Is there a way of doing this? It won't always be the same person here either.

    Hi Emma,

    There isn't really a way of doing this, you could let the purchase order go to Outlook and then add it manually or Report Designer does support "CC" so you could add the email address there, the problem with this is that it's a fixed address so wouldn't support the ability to send to different people in the organisation without changing it every time.
