Sage200 Pro drawing attachments.

SUGGESTED

We have been using Sage200 for several years to create works orders etc. We currently attach outline drawings in PDF format to stock records for saleable items. Is there any way of searching by drawing number to see which records the drawing is attached to?

If you're using the on-premise version, the stock attachments aren't in the SQL database, but are saved in the STOMEMO folder of the company's Attachments folder.  So just use WIndows file explorer to search for the files by name,

The folder name is a "cleaned" version of the stock code, prefixed with "A"; eg. the attachments for "ABBuiltIn/15/0/2" are in a folder named STOMEMO\AABBuiltIn#2F15#2F0#2F2 - the "#2F" replaces the "/"s as they aren't allowed in folder names.

(And you can add attachments to stock items by putting files in the relevant folder!)

    Geoff, thanks for your reply.

Looks like that would find any drawing attachment but would it let me find the stock item(s) that the drawing is attached to? I can't check right now as it seems that our server location needs additional permission to allow viewing.

Jeff Turner is correct if the attachment is applied to a stock record it will produce an additional folder in the attachments folder that corresponds to that stock record.

You can backward engineer the stock code from the text used for the folder name by replacing the HEX codes with the special characters. In this case #2F replaced with / which is the hexadecimal representation of the forward slash ASCII character. A full list of the ASCII characters and their Hex values can be found on this third party website. (https://ascii.cl/ )

However if you are a manufacturing user and have attached the PDF to the drawing registry record then the attachment is stored in the Attachments\Company_name\Manufacturing\Attachments\DrawingRecord\drawing_record_no folder. The drawing_record_no is derived from the DrawDrawing.DrawDrawingID field in SQL.

    Hi Nigel,

Did my previous post on the 23/12/2022 help answer the question?

    David,

I have not been able to check your suggestion yet. With the Xmas/New Year break & that our server access is now handled by a corporate I.T. manager rather than someone on site, I do not yet have permission to search the Sage files on our central server. The Sage programme runs on a partitioned drive on the server which can only be addressed by someone with admin. rights.

    Hi Nigel,

How has your IT Support Manager's testing gone? Is there anything further I can help with?

After a lot of delay, some caused by the IT manager leaving & a replacement getting up to speed, I eventually got access to the STOMEMO folder & can successfully search for drawings attached to stock records. Thanks David & Geoff for your help.
