Looking for user advise

Hi All,

I'm a BV user in a retail/wholesale business. To start, I'd like to activate another column as another search type option in the product lookup search mode. There is a column titled "Alternate". It is a field in the product detail and is something one can assign any number to. I'd like to utilize this option and start using it. How do I activate this column in the lookup?

  • note: the Alternate column is for an inventory item which would be used as a replacement for the original item.
    BV is not able to have this column as a lookup.
    If you go into BV help it will explain the use of Alternate further.

    Thanks for the reply. Is there a way to alter an existing Inventory Part Number? I've tried just adding numbers in front of an existing code but it does not allow me to save the change. We are trying to make the Product Lookup much easier at our sales counter.

    MK Software is a add-on program to Sage BusinessVision.

    It will allow for Part Numbers to be changed.

    Which version of BusinessVision are you running? And how many users?
    (e.g. SBE, SE 5-Users, 2017, 2015,)

    It's an add on software program that talks to BV. MK Powertools Software. We've been using it for years - great tool to change inventory part numbers, customer numbers. Allows you to unissue a PO after there have been receipts done. Does a complete reversal of an invoice, bringing it back to the original order number.     Was really hoping to be able to use the "Alternate" number field in the Inventory module. Use it as another sort option rather than just the product code and product description....This column shows in the Product Lookup.

    Unfortunately it is not a sortable column. If you use builds be very careful of the alternate field as BV will look for the alternate if there is no inventory quantity available in the original product code. If the information that you put in alternate is truly another part number your inventory will be modified. Are you looking for a way to find products while you are in the O/E screen? Or just look in general? If it is just in general, go to the magnifying glass with the question mark and you can put in search parameters in the inventory module. For example, select Description and as the parameter use "contains" and then the search key. For me when I put in "Spiral" it shows me 7 items that have "spiral" in the description. If you double click on a line it brings you right to the inventory module for that item.

    if you wish to put numbers or letters in front of your current part number copy the part and add what you want. transfer current counts to the new part, zero out the counts in the old part number and then mark it inactive. if you wish to mark the old number as your alternate for reference remember BV will want to use it as a replacement for the original item for filling orders or in bill of materials. hope this may help.

    So when we are using "Order Entry" or "Point of Sale" module for invoicing a customer or doing a cash sale at our sales counter, We use the lookup feature to find our product. We have a lot of our items set up to scan using the bar code but also a lot that aren't set up. We use the "Description" field mainly but change sort if we can't find the product. Then we use the product code. Many of our items are able to be bought from different vendors of ours, so using this field isn't always the answer either.
    One of my co-workers worked at a previous company where they had a 4 digit number assigned to every product specific to it. They used a price gun to tag that number. When the product was brought to the till, they punched in that number and viola! I was hoping to use the alternate or add a 4 digit number to the beginning of every product. When you just type in the product number field the product code, it starts auto filling. This would work for us and be simple...
    We spend way too much time looking for the product in our system to ring thru a sale. This is very frustrating when we have a line up of people in our store just wanting to pay and go. Any advise offered to help with this problem would be appreciated.

    Not sure where you mean.... Magnifying glass with question mark. Our search will only give results on the first word in the description. Any products with spaces are typos will not come up nor will results that have that word anywhere in the description line...The lookup we are using is in the billing and POS module for ringing thru a sale. Are you talking about a different area?

    since you are using POS your own suggestion of adding a sequential number before the existing part number would be the easiest. Either copy each item and add to the part # and mark the old as inactive or export and change in excel and import back.
    Mark the old part as inactive and zero out quantities. Put the quantities from the old to new.
