Account Receivable customer mass update (IMPORT)

SUGGESTED

I know there is an Import Record function built in to Sage 50, but I understand that it will only add customers, and not update existing customer information.

Is this correct?

I need to update the contact name (and addresses) for 1500 existing customer accounts and maybe add a few new customer accounts as well twice a year.  Can this be done within Sage 50, or do I need to use a third party utility.

If Sage 50 doesn't allow this, why not, it would seem rather easy to allow changes to accounts, along with adding new accounts.

One option is to export the Customer list from Sage 50. Open the file in Excel and make the necessary changes and additions in the same format as the exported data fields. Then import the file back to Sage 50. It should record all changes and additions made in your file.

Be sure not to change anything on the first line of the export file as this information is required for the import.

This is by far the easiest way to make bulk changes to the Customer information. Or you could make the changes, one at a time, as the need arises each and every day.

I thought about doing that, but I heard that if the account already exists then the import would not change any of the contact info (names, addresses, ect).  Can you confirm one way or the other?  I guess I could always try it and see if it works.  I know, back up prior to any import.

I am very certain it will make the required changes, however, to be certain I always create a second copy of the data and call the file Test or something else definitely not the company name, and then run a test. Export the full list of Customers, make some changes to the first few and add a new one or two, then delete the rest of the lines. Take the exported, modified file and Import it back into the Test data. This will always verify your needs will work or not. Once proven and changes are then made in the active file don't forget to delete the Test file so there is no confusion.

Yes, back up before you start the process and back up again at crucial stages if the process is complex. When complete it is another good time to make a back up. You can never have enough back ups as long as they are labelled properly so you know at what point in the process the back up was taken.

I will like to advise all those who read this in the future that you CANNOT import changes to customer accounts.  As soon as Sage 50 confirms the customer name is a duplicate, it ignores all changes to that account - contact name, address, phone number, etc will not be changed or updated.

This was using SAGE 50 Premium version 2019.3.  There is a software company in Ontario Canada that provides an import utility multiple invoices (I import 1500 invoices twice a year from Excel).  Currently, I was just importing invoices, but I will need them to import the name changes as well on those accounts.

They can be found at https://businnovatech.com/ - economically priced too.

Sorry Alwyn, Mike-NS is correct.  There is no way to mass update the customer or vendor addresses with the import facilities in the program.  The only way is through custom programming.

I have just tried to update a file and proved me wrong as well. I guess I am never to old to learn something new (to me) about Sage 50.

Sorry, Mike, that I miss led you but glad you tried in a test mode as well.

    Alwyn,

Sometimes we just think that after all these years, the feature should be there.  In this case, I think the visible import facilities have not changed since they added Departments to the program and the programmers added them to General Journal imports.

And there is still so much more to learn about this program, even for those of us who have 20+ years with it.
