Accounts Receivable not Balancing with Customer unpaid Invoices

Trying to Finalize Historical Data 

Cant get Balance of Accounts Receivable to Balance with Customers Accounts

Have entered Historical Data for Invoice, Customer Report shows balance 

when check Data Integrity amount entered on chart of accounts for A/R shows balance but the Unpaid Customer invoices shows 0 despite the balance showing on Customer report being equal to the amounted entered for the balance of Accounts Receivable

    Setup of a file is double entry. You still need to enter the balance of all your accounts on the balance sheet and possibly your income statement as well. Go to Setup, Setup Guide, Accounts and make sure each account has the proper opening balance for the day before you started using Sage 50.

    I have entered the opening Balance for the Account, balance sheet is perfect, I have also entered the Historical Invoicing for the Customer that matches the Balance of the AR account, Customer Balance shows amount, but when check Data Integrity Shows A/R Balance $1750 Unpaid invoice/deposits $0, Historical Information Customers Not Balanced yet I have customer amount owing as $1750
    the problem is the system is not recognizing the outstanding Balance entered for the customer as a match to the A/R balance so I an unable to finalize the historical info

    On the left side of the Integrity Summary screen, you should see A/R Balance. This is the balance of your general ledger account for Accounts Receivable (usually 1200). The right side is called Unpaid Invoices and this is the total of all invoices not yet paid by any customer. Both numbers are as of the latest transaction date.

    If you have not made any journal entries in the system, then these numbers are also as of the start date of your file.

    You indicated in your first post, you entered the historical information for the customers and the report balances. I assumed you meant, that you entered the historical invoice(s) for all your customers and ran the Customer Aged Report as of the start date of your use of Sage 50. That report should show a total of $1750 according to your last post. The account 1200 has a balance of $1750.

    If the data integrity is not balanced, something went wrong. Unfortunately, you are not using the terminology within the program so I can't tell what might be wrong.

    Normally you would use the Historical Transactions tab of the customer ledger to enter the historical invoices that are dated before the day you start using Sage 50. Once all invoices are entered for all customers, the Customer Aged report (Reports, Receivables or Customers and Sales) will give you the proper total of all invoices. Then on your Balance Sheet you can see the total you entered in the Accounts Receivable account. The numbers should match.

    If it's not matching, then it is possible you changed the linked accounts but more likely there is something missing or not entered in the correct account. I can't recall a case where historical customer invoices were entered and the Data Integrity Unpaid Invoices showed as $0. Can you post a picture of the Data Integrity screen (use Alt-PrtScn and you can dump it into MS Paint and remove the other numbers if you wish). Just make sure you keep the position of the asterisks.

    Try linking your Deposits and Prepaid Orders. Send it to 1060 if you don't want to set up a new liability account. Since you didn't use the standard templates, the program is expecting you to do everything in the setup and I believe you just haven't finished, so it might not know what to do with the info. Posting images can be done if you click on Use rich formatting under the quick message reply.

    Hi Luke403,

    To include images in your post, click on Reply and then click on the "Use rich formatting" link that is located right under each reply box.  

    You will see an Enhanced Text Editor appear.  Choose the Insert/Edit Media button (highlighted yellow above).  A pop-window will appear which will allow you to browse to the location of the file containing the image you would like to post.  Once you have located the file, click on the Insert button and the image will appear in your post where your cursor was last placed.  You can continue writing additional text or you can post your reply, which will now contain your selected image.

    I decided to do a quick test and found when I unlinked the Deposits and Prepaid orders after I already had things balanced, it still remained balanced. So if linking it didn't work for you, send me an email (click my name), and maybe we can get it sorted out by phone for you. As I said, I've never seen it do what you have and other than the link, everything looks setup properly from those images.
