Pre-Populated Item Descriptions for Sales Quotes

Hello, 

I want to create specific line item description that are used on a standard quote for customers.

Is there a way to create these item description line items, so I do not need to type them out over and over? 

I don't want to create it as a inventory item as I do not need to keep track of quantities.

If they are created as a inventory item, the issue is a quantity is required to be entered under "Order" for the Sales quote to be recorded. 

Looking for a way to by-pass that so the quotes do not have a 1 beside each line item. 

Any ideas or suggestions to have these descriptions pre-populate?

  • You can either create Service items that can drop in the descriptions or create Recurring entries from the Sales menu (or toolbar buttons) to use.

    The recurring entry does have to have a customer attached but when you recall the entry, you can change the customer.

    If you never need the quantity on a quote you can remove it from the printout and still use it on screen or create multiple templates to work with as needed.

    Hi Richard, 
    I was thinking of creating recurring entries but the issue is the quotes are so different from each other that it doesn't always work. Only when it is the same details then I can create a recurring entry and just change the customer name. 

    I tried the inventory route but came across the issue with having to enter in qty per line item. 

    I am going to try the Service item and see if I can create the sales quotes with the drop in descriptions and not have a qty entered. 
    I've been able to print the sales quotes without the qty but when I need to convert the sales quote to a invoice then the qty needs to be entered just to record the entry.

    I haven't tested the rules for quantities with quotes quite a few years and I didn't have a current version of the program running when I last posted.  I believe Inventory will require a quantity because the job is to track quantities and costs.  I can't remember if Service items require quantities.  I think you can print without but then require it to post but I vaguely recall now that if you don't have dollars on the line, then quantities are not required.  Best to test.  You can try testing on the sample file or take a copy of your file and test until you have it working the way you want.

    This may be a dumb question but if all the quotes are different then why are you looking for commonality?

    I did a test run this morning and unfortunately you do require to have a qty entered when it is a service item in the 2021 Quantum version. 

    I have a total of 52 common items that I list on Customer Sales quotes, some quote I only require 7 line items and others 29. 

    If I were to place all 52 items in a recurring entry, I would then have to delete several lines one at a time since Sage doesn't allow you to delete multiple lines at once. 
    If there was a option to have a sales quote autofill with that I need, it would save a lot of time when it is a simple customer quote.

    I've been doing it this way since recurring entries were put into the program.  I set up most of what I need on one recurring entry, then I put my cursor on a line and hit Alt-E, R.  I just did this three times yesterday in two different companies.

    Alt - activates the menu

    E - for the Edit menu

    R - Remove line

    Move to the next line to delete with the arrow key and repeat.

    Just don't delete the wrong line or you have to start over.
