Are 'automatic transactions' possible in Sage?

Our IT guy has another client which is a medical office.

The medical office curretly uses Sage 50 but is looking at switching to Quickbooks, because apparently, Quickbooks offers 'automatic' transactions.

As far as I know, there are no automatic transactions in the sense that entries are posted automatically each month such that one does not even need to 'recall a recurring transaction.' For example, the medical office would like to have their phone bill automatically posted on the 4th of each month without having to manually enter the transaction for each month.

I don't think this is possible. I think some clients hear "recurring transaction" and think that the transaction occurs by itself, and don't realize that you still have to 'recall' the recurring transaction.

Is anyone able to shed light on this? I don't know enough about Quickbooks, nor other, newer versions of Sage, to give a satisfactory answer to our IT guy.

    Technically you would go to a QB forum to get information on the competitor.

    However, I have used QB Desktop for longer than I will admit and I use QBO.  I believe both can post automatically as you describe.  I don't trust it.  Not that it won't post what you tell it to, but that in my experience, very few entries are "always" the same.  Then you spend more time fixing things when you are out of balance than you would have posting it correctly in the beginning.

    I prefer to post entries that I know for sure will be the same all at the same time.  It takes 2-3 minutes at most to post a year's entries using recurring transactions once one is set up.

    In my opinion it is not a feature worth switching for.

    Current versions of Sage 50 Canadian can download transactions from the bank but I don't believe they will automatically post.  You still get to authorise it and correct it if necessary before it is posted.  I could be wrong as I have never used the feature, only read about it.  Someone with more experience may have more information on it.

    Thanks, when I re-read my post, I probably wasn't clear enough. The paragraph that starts with, "As far as I know, there are no automatic transactions..." I should have typed, "As far as I know, in Sage there are no automatic transactions..."

    I meant to ask if there are any automatic transactions in Sage that would, essentially, match the claim of the medical office that QuickBooks does do automatic entries.

    I did conduct a cursory search on QuickBooks and they have 'memorized' transactions which seem to be like Sage's recurring transactions, however, even with the memorized transactions, one is still prompted to confirm or deny the automated transaction—but you probably already know that since you do work with QB.

    All that said, I do appreciate your reply as I very much agree with your post. Like you, I don't trust any automation and prefer to post my transactions!

    Memorised transactions in QB are in QB Desktop (QBD).  QBO or QuickBooks Online uses Recurring Transactions.

    Regardless of the name, they are all similar to Sage 50 except that the QBx versions will post the journal entry.

    In Sage 50 you can find the recurring transactions in each module, on the Reports menu or in the Daily Business Manager (DBM).  In the DBM you can post/print/email Sales invoices in batch if they are always the same but you still trigger the entry.  For other module recurring transactions listed in the DBM, you can just double-click the one you want and it will take you to the module to modify and/or post.  These methods help speed up the posting of the entries as well.
